CLUB TERMS AND CONDITIONS

THESE TERMS WERE LAST UPDATED ON 09/09/2025 

1. THE CLUB EVENTS PROMOTER  

The club events promoter is: 1 C C GOLF TECH LIMITED (CRN: 12147219) T/A ONE SHOT GOLF whose registered office is at First Floor, 10 Fairfield Terrace, Gateshead, NE10 0QR.

2. THE CUSTOMER

The Customer shall be the individual who joins the club by inserting their details in the Promoters “App” “Website = www.oneshotgolf.co.uk” or “In person via a sign up form” Each Customer shall:

a) Accept that The Promoter, in its absolute discretion & has a right to withdraw any club membership where the Customer is in violation of these terms.

b) be 18 years of age; and

c) be a resident of the United Kingdom

3. THE CLUB EVENTS 

3.1 The Club is called One Shot Golf.

3.2 “CONGU” shall mean The Composition of the Council of National Golf Unions Limited.

3.3 “WHS” shall mean World Handicap System.

3.4 The Promoter is in the business of organising and running golf events for club members and will reward prizes to those Customers who are able to score a “Hole in One”.

3.5 A Hole in One shall mean the following:

a) It is the Customer’s first shot/stroke on the requisite hole. No provisional ball where a ball comes to rest in the hole will be deemed to be a hole in one.

b) Where the Customer’s ball comes to rest in the hole after the Customer’s first stroke on the hole and the entire ball comes to rest below the surface of the putting green. Where a ball comes to rest on the flagstick in the hole then if any part of the ball is in the hole below the surface of the putting green then the Customer’s ball will be treated as being holed. If no part of the Customer’s ball is in the hole below the putting green, then the ball will not be holed and must be played as it lies. If the flagstick is removed and the Customer’s ball moves (whether it falls into the hole or moves away from the hole) then this shall not be deemed to be a Hole in One.

c) Where the whole ball comes to rest in the hole from the first shot/stroke on the requisite hole, but not if it has been moved or is rebounded by any preplaced object or entity.

The Promoter reserves the right to amend this clause from time to time in accordance with the rules as set out by the R&A through the R&A Rules Ltd, the governing body.

3.5 Memberships must be purchased in person or by using the App or Website prior to a Customer commencing in any Event.

3.6 The Customer shall join the club before playing a round of golf on a golf course which the Promoter has identified on the App or Website as being a Golf Course/Club that permits an Event to take place. For the avoidance of doubt, only those Golf Courses that are located in England, Scotland or Wales shall be deemed as being eligible to hold an Event.

3.7 All Customer’s must be playing on a course that the Golf Club has designated as being open for play on the day of any Event. The Promoter reserves the right to deny that an Event has taken place where such an Event occurs on a Golf Course where winter tees are in play and therefore the Golf Course is no longer a Measured course. A Measured course is to be given the same meaning as contained in the CONGU/WHS “Unified Handicapping System 1st January 2019 including Rules of Golf 2019. Exceptions may be in force for winter greens. For example, the prize may be lower in value. All customers shall check the prizes being offered on the day of play before entering an Event.

3.8 On joining the club for a single day event, the Customer must make sure they select the correct course the for the event they wish to participate in . Full or half season One Shot Golf members are automatically entered for all Events.

3.9 The App or Website will dictate which Hole on the Golf Course the Event is to take place on. An Event will not take place across multiple holes and will only take place on one par 3 per Golf Course.

3.10 An Event need not take place within a designated Golf Club’s internal club competition. One Shot Golf Club is available in both normal play and in club competitions.

3.11 The Event must take place over a full or half round of golf, meaning 18 or 9 different holes of golf. Any omission or variation of this clause will lead to the Customer’s automatic disqualification from the Event.

3.12 The Customer’s membership for an Event shall only be valid where the Event takes place on a Measured course, such a determination to be at the sole discretion of the Promoter but shall be deemed to have the same meaning as supplied by the Royal and Ancient “R&A”, the governing body in UK.

3.13 The Hole must be Measured at least 110 yards long should the Customer be male and 100 yards or more where the Customer is female.

3.14 The flagstick for the Hole on which the Event is to take place must be in place in the Hole prior to the Customer teeing off. Failure of the flagstick to be placed in the Hole prior to the Customer taking their tee shot will result in the Customer’s failing to receive the Prize.

3.15 The Customer must ensure that they do not cover their faces with any mask, snood or any such attire which at the Promoter’s discretion, inhibits their ability to verify the Customer’s visual identity.

3.16 During a Club Event a Customer may only use devices that measure distance from tee to green only (both are which to be given their ordinary meaning in the game of golf). Any devices that measure elevation, wind speed, playing information in relation to club usage, any physiological equipment, play music or audio to eliminate distraction or aide swing tempo or viewing any video or audio that aides in a player selecting a correct club must Not be used.

3.17 Should the Promoter encounter any technical difficulties with their equipment, while an Event is in play The Promoter may cancel or refund any membership to the Customer.

3.18 On the basis of a Golf Club suspending play, and the Customer has already entered the Event, due to adverse weather conditions or any other unforeseeable circumstances then the Promoter may refund the Customer at their sole discretion. It will be for the Promoter to satisfy themselves that the Customer did enter the Event before play was suspended.

3.19 When taking a membership via the Promoter’s App or Website, the Customer is to follow the on-screen instructions. It is the Customer’s obligation to ensure that the entered details are correct and tick the declaration confirming that they have read and understood the Clubs terms and conditions.

4. HOW TO JOIN THE CLUB 

4.1 The Club Events run on a day by day basis throughout the main golfing season 1st April – 30th November. Winter Memberships run from 1st December – 31st March the following year.

4.2 Each Club Event shall be controlled by the Promoter through the App, Website or In person at an event.

4.3 All membership sign ups must take place through the App, Website or via a One Shot Golf representative. The Customer is required to purchase a membership before commencing play. Any day membership purchased after tee off will be null & void. Any full season membership purchased after tee off will be null & void.

4.4 Membership payment, by way of the App, Website or in person to a One Shot Golf representative, must be made and received by the Promoter prior to the Customer playing in any Event. Where payment is not received by the Promoter that Customer’s entry into the Event shall be deemed to be null and void. They may not claim the event Prizes.

4.5 The Customer is obligated to ensure that their details are correct & should they have a One Shot Golf membership, check that this is active. The Promoter shall not be held responsible for any errors on the Customer’s behalf and they reserve the right withhold a refund or prize to any Customer.

4.6 By joining the club, the Customer agrees and consents that the information given by them may be used by the Promoter to contact them for any information, promotional or marketing matters.

5. ELIGIBILITY  

5.1 Joining the club is open to any Customer whom is playing a round of golf at the Golf Course, except:

(a) employees of the Promoter or its holding or subsidiary companies;

(b) employees of agents or suppliers of the Promoter or its holding or subsidiary companies, who are professionally connected with the competition or its administration;

(c) members of the immediate families or households of (a) and (b) above;

(d) any Customer who currently has a CONGU/WHS Handicap below “0.0”;

(e) Any Customer who is or was a Professional Golfer or is a member of the Professional Golfers Association;

(f) any Customer who does not hold a CONGU/WHS Handicap or in the Promoter’s discretion their CONGU/WHS Handicap would be deemed to be below “0.0”;

5.2  In entering an Event, the Customer confirms that they are eligible to do so and eligible to claim a prize. The Promoter may require proof of eligibility to enter an Event.

5.3 The Promoter will not accept Event entries that are:

(a) automatically generated by computer;

(b) completed by third parties or in bulk;

(c) illegible, have been altered, reconstructed, forged or tampered with;

(d) photocopies and not originals; or

(e) incomplete.

5.4 There is a limit of one Event entry per Customer per Event.

5.5 The Promoter reserves all rights to disqualify any Customer if their conduct is contrary to the spirit or intention of the Event.

6. THE PRIZE  

6.1 The Prize/s for each Event will be notified to The Customer on the website and should be checked before entering an Event. They will be at the Promoter’s absolute discretion in relation to each Event.

6.2 The Prize/s are non negotiable, and payment will not be made to a third party.

6.3 The Customer must have a valid email address or telephone number to allow the Promoter to notify the Customer that they have won a Prize. The Promoter shall not be held liable for the Customer providing incorrect contact details.

6.4 If the Promoter is unable to contact the Winner within 14 days after the Customer first notifies the Promoter of their intention to claim the Prize, and the Customer does not accept the Prize in writing (which shall include by email) then the Winner will be disqualified. In those circumstances the Customer will not receive the Prize.

7. WINNERS  

7.1 The decision of the Promoter is final. No correspondence or discussion will be entered into.

7.2 The Promoter will contact the winner personally as soon as practicable after the Customer informs them of their Hole in One in accordance with clause 8.1, using the data provided on the entry & claim forms. The Promoter, in their absolute discretion, may take up to 60 days to verify the validity of the Customer’s Hole in One.

7.3 The Customer will be deemed to have been a Winner of an Event once the Promoter contacts them confirming that their Hole in One or Nearest To The Pin has been verified.

7.4 In order to verify a Hole in One or Nearest To The Pin the Promoter will use their video equipment which will provide video footage of the Hole in question. Should the Promoter deem in their absolute discretion that the video footage does not unequivocally show that the Customer succeeded in achieving a Hole in One then the Customer will not be deemed to be a Winner.

7.5 Should any conditions arise in accordance with clause 3 or other technical issues arise that lead to a Hole in One or Nearest To The Pin being unable to be verified by the Promoter then the Event prize/s will be automatically cancelled, no Prize will be given to the Customer.

7.6 Any Winners will be identified as a winner by the Promoter and the Winner hereby contractually confirms that the Promoter is able to use any photos, video footage and the Winner’s name as promotional material on whatever platform they deem appropriate. Should the Customer object to any or all of the above being published or made available, the Promoter is to be contacted by email immediately on entering the Event. In such circumstances, the Promoter must still provide the information and winning entry to the Advertising Standards Authority on request.

7.7 During an active Event some golfers may have an advantage where they are deemed by the golf club to be unable to play from a certain tee box.

7.8 When claiming any prizes, footage of your shot/s may be used on our website/social media platforms.

8. CLAIMING A PRIZE/S

8.1 The Winner must notify the Promoter in writing (email, claim form) within 12 hours of the Hole in One taking place. Failure to notify the Promoter may result in the Promoter, in their absolute discretion, being unable to confirm the validity of the Customer’s Hole in One in accordance with clause 7.

8.2 The Promoter, in its absolute discretion, may require the Customer to provide proof by way of, but not limited to the following:

a) A signed letter from the Golf Club at which the Competition took place confirming that a Hole in One was scored by the Customer;

b) A signed score card from the day of the Event, signed by the Customer and counter-signed by a third party who completed a full round of golf in accordance with clause 3.10 with the Customer, where applicable;

c) A valid CONGU/WHS Handicap Certificate;

d) Proof of age; and

e) Proof of residency

8.3 If the Promoter is unable to contact the Winner within 14 days after the Customer first notifies the Promoter of their intention to claim the Prize, and the Customer does not accept the Prize in writing (which shall include by email) then the Winner will be disqualified. In those circumstances the Customer will not receive the Prize.

8.4 The Promoter does not accept any responsibility should the Customer be unable to accept the prize.

9. LIMITATION OF LIABILITY  

9.1 Insofar as is permitted by law, the Promoter, its agents or distributors will not in any circumstances be responsible or liable to compensate the Winner or accept any liability for any loss, damage, personal injury or death occurring as a result of taking up the Prize except where it is caused by the negligence of the Promoter, its agents or distributors or that of their employees.

9.2 The Promoter does not accept responsibility for any fault, malfunction, damage, loss or disappointment incurred or suffered by the Customer as a result of entering the Event or accepting the Prize/s howsoever arising.

10. OWNERSHIP OF CLUB EVENTS  AND INTELLECTUAL PROPERTY RIGHTS

10.1 The Promoter does not claim any rights of ownership in your Club Membership acceptance.

10.2 The Promoter does claim Intellectual Property rights over the App and Website and any other connected or associated matters in relation to all One Shot Golf Event or the Promoter’s connected business. Intellectual Property Rights shall include:  patents, rights to inventions, copyright and related rights, trademarks, trade names and domain names, rights in get-up, rights in goodwill or to sue for passing off, rights in designs, rights in computer software, database rights, rights in confidential information (including know-how and trade secrets) and any other intellectual property rights, in each case whether registered or unregistered and including all applications (or rights to apply) for, and renewals or extensions of, such rights and all similar or equivalent rights or forms of protection which may now or in the future subsist in any part of the world.

10.3 The Customer agrees that the Promoter may, but is not required to, make an Event entry available on its website and any other media, whether now known or invented in the future, and in connection with any publicity of an Event. The Customer grants the Promoter a non-exclusive, worldwide, irrevocable licence, for the full period of any intellectual property rights in an Event and any accompanying materials, to use, display, publish, transmit, copy, edit, alter, store, re-format and sub-licence an Event and any accompanying materials for such purposes.

11. DATA PROTECTION AND PUBLICITY  

The Promoter will at all times act in compliance with UK Data Protection law as is in force from time to time. The Promoter will only process your personal information as set out in the Data Protection policy set out on the Promoter’s App and Website.

12. GENERAL

12.1 If there is any reason to believe that there has been a breach of these terms and conditions, the Promoter may, at its sole discretion, reserve the right to exclude you from participating in an Event.

12.2 The Promoter reserves the right to hold, void, suspend, cancel, or amend an Event where it believes it is reasonably necessary to do so.

12.3 These terms and conditions shall be governed by English law, and the parties submit to the exclusive jurisdiction of the courts of England and Wales.

13. NEAREST TO THE PIN EVENTS

From time to time One Shot Golf Club Event Members may be given the chance to win an additional prize or prizes.

The same relevant terms & conditions above apply with these additional terms set out below.

  1. ONLY One Shot Golf day and full/half season members will be eligible to claim the nearest to the pin prize/prizes.
  2.  All nearest to the pin attempts must be measured and entered on the form provided at the side of the green. If you fail to enter all of the information requested, you will not be eligible to receive the Event prize/prizes.
  3. All nearest to the pin attempts are recorded via our camera system and will be checked against the measurement entered onto the form provided.
  4. Any measured nearest to the pin that we believe to be fraudulent will be disqualified and the prize/prizes awarded to the next genuine attempt.
  5. Our decision on any winner is final.
  6. The only eligible attempts are those made on the day of the promotion & if stated, in the Event time frame given. Normally this by 6 PM on the day of the Event. 2 PM is the advised final tee off time.
  7. In the event that two or more players have the exact same distance to the pin, we may split the prize equally (offer an alternative prize) or we may ask you to take part in a playoff.
  8. All nearest to the pin attempts must be part of a full or half round of golf, meaning 9 or 18 holes.
  9. There is a limit to one attempt per player on the day of an Event.
  10. It is not compulsory but it can help, if you take a photo of your attempt with the tape measure laid out plus the ball and hole in view.
  11. Any ball that is deemed holed from the first shot, will not count as a nearest to the pin attempt. (Hole in one prize would then apply).
  12. All measurements should be taken from the pin/flag stick, not the edge of the hole.
  13. All nearest to the pin attempts must be on the green of the Event designated hole.

 

14. MEMBERSHIPS

The same relevant terms & conditions above apply with these additional terms set out below.

The One Shot Golf season runs from 1st April to 30th November on a year by year basis.

ALL One Shot Golf memberships must be purchased before tee off on the 1st hole to be eligible for ANY prize.

One Shot Golf Full Season Members are eligible to win at ALL our affiliated events. Prize limitations may apply.

One Shot Golf Full Day Memberships are ONLY eligible on the day of purchase at the pre selected club event. Prize limitations may apply.

FULL season members are eligible for our hole in one prizes, any nearest to the pin prize or alternative prize we have on offer.

DAY members are eligible for our hole in one prize & nearest to the pin prize or alternative ONLY at the event selected.

Membership offers MAY CHANGE with different time frames & prices.

WE ENDEVOUR OUR BEST TO KEEP OUR SYSTEMS RUNNING WITH 100% UPTIME, ON OCCASION THIS MAY NOT BE POSSIBLE, RENDERING AN EVENT UNAVAILABLE ALBEIT TEMPORARILY.

EVENT PRIZES

All our Event prizes will have a start date & an end date.

The typical One Shot Golf Club Event prize for a hole in one on our allocated holes is between £250 & £1,000.

Prize amounts may increase substantially on occasions with no upper limit.

MEMBERSHIP AGREEMENT

By agreeing to our terms, you confirm that you understand:

ALL memberships are non-refundable.

DAY memberships will expire at the end of the day of purchase.

FULL season memberships will expire on the 30th November.

HALF season memberships are available from August 1st & will expire on the 30th November.

ALL memberships once commenced will not be refunded for unforeseen events that are out of our control for example but not limited to: weather, pandemics, injury, course closures, terrorism.

It is ALL OUR MEMBERS RESPONSIBILITY to check that they have an active event membership. If any event membership has expired, you must renew to continue your eligibility for entry to any One Shot Golf Club Event.

15. AFFILIATED CORPORATE/SOCIETY EVENT ADD ON PRODUCTS

The same relevant terms & conditions above apply with these additional terms set out below.

Our affiliated corporate event add on products are a great feature to compliment your society or corporate day you have booked at any golf course where our One Shot Golf Club systems are installed.

All our affiliated corporate event add on products require the tee off time slot and full names of each individual golfer taking part BEFORE play commencing, failure to do so will null and void any One Shot Golf Club Event for those who do not adhere to this.

All society groups and corporate groups can request a bespoke package by contacting us in advance via our email: info@oneshotgolf.co.uk

REQUEST A VIDEO TERMS

We offer short videos of your shot on the holes where our systems are installed. After purchasing a video we will contact you using the contact details you provide in the checkout form and request additional information regarding the date and time of the shot. We can then start to edit your short video. This can take up to 72 hrs after you make payment. You must make sure that all the people you are playing with give permission to be shown in the footage as this is their personal data. If any person/s do not consent to this then we will blank out their faces in any footage where they can be identified.

ONE SHOT GOLF WINNERS EVENT

All the above T&Cs apply including the following:

To qualify for the winners event you must have signed up for either a one day or full season membership with One Shot Golf.

You either have to hit a hole in one on our designated par 3s or hit a nearest to the pin on our designated par 3s at one of our attended One Shot Golf events.

You will be invited to our event which will be announced in the following year.

If you are unable to attend the event, we will not be held responsible for this & you will forfeit your place & chance to win our offered prize.
